About The Position

The Executive Assistant will have the unique opportunity to support both the Chief Executive Officer and Chief Growth Officer of SHARx and will be responsible for more than just calendar management and scheduling. The core responsibilities include preparing and organizing priorities, travel accommodations, and overseeing other delegated tasks as assigned. This will enable the Chief Executive Officer and Chief Growth Officer to concentrate on high-level strategy and business growth.

This role is critical to ensure the CEO and CGO can operate at peak effectiveness during a period of growth and transformation. The Executive Assistant acts as a force multiplier, enhancing leadership productivity, improving communication flow, and helping scale the organization with precision and professionalism.

Essential Duties and Responsibilities:

  • Act as a strategic right hand to the executives, anticipating needs and proactively managing priorities.
  • Optimize executive time through meticulous calendar management, aligning meetings with key business objectives.
  • Serve as a liaison between the CEO and internal/external stakeholders, maintaining professionalism and confidentiality.
  • Act as the CEO and CGO’s “eyes and ears” when unavailable.
  • Coordinate executive-level meetings, board communications, and leadership offsites, ensuring agendas, materials, and follow-ups are delivered seamlessly.
  • Manage travel logistics, expense reporting, and scheduling across multiple time zones.
  • Track action items and ensure accountability across leadership initiatives.
  • Partner on cross-functional projects, including HR initiatives, operational improvements, and organizational communications.
  • Prepare reports, presentations, and briefing materials for internal and external meetings.
  • Support execution of strategic initiatives by monitoring progress and removing obstacles.
  • Handle sensitive information with discretion, including personnel matters, business strategy, and financial data.
  • Build strong relationships with senior leaders, employees, and external partners.

Position Requirements:

  • Strong organizational and communication skills.
  • Ability to problem-solve, think ahead, and exercise excellent judgment.
  • Exceptional attention to detail and accuracy in managing tasks, communications, and operations.
  • Curiosity, adaptability, and the ability to thrive in a fast-paced environment.
  • Proficiency with Microsoft Office, calendar management tools, and collaboration platforms.
  • Awareness of team dynamics and the ability to manage relationships effectively.

Preferred Qualifications:

  • 3 or more years of experience supporting senior executives, preferably in high-growth, healthcare, or tech environments.
